Delegate FAQs

Henan University will arrange transportation for speakers and international delegates who have provided us with their arrival and departure details.

A dedicated volunteer has been assigned to each arrival group for international delegates.

They will be contacted with further information about their transportation arrangements.

International delegates/speakers should look for a green welcome sign outside the exit gate at Zhengzhou Xinzheng International airport (CGO) and at Kaifeng North train station, please meet your volunteer at the welcome sign.

Delegates who have not provided us with their travel details can take a taxi directly, or book train tickets from CGO airport to Kaifeng. If there is a volunteer present, you can also ask them for assistance/advice.

Registration will be open from 1–6pm on Sunday 20 October and 8am – 3pm on Monday 21 October as well as during the symposium hours. The registration site is located in the lobby. Volunteers will be available to assist with registration, including paying on-site registration fees, as well as for Thursday activities.

At registration you will receive your name badge, and a delegate bag.  We will also have printed copies of the quick reference timetable. 

We will provide a shuttle bus from the Vienna International hotel to the Pullman hotel at the following times:

Delegates can walk or take a taxi between the hotels at other times.

Please ensure that you wear your name badge for the duration of the symposium. Please visit the registration desk if you need any modifications to your name badge. If you lose your name badge, please visit the registration desk for a replacement.

Posters will be displayed for the entire symposium, and there will be dedicated poster sessions, and each poster presenter will be allocated a specific time to present in a poster session. Lists of poster presenters and their abstracts are on the symposium website.

Prizes will be awarded for the best posters. All registered delegates can vote for the best poster, with a prize of £150 for the top poster and £50 for two runners up. Poster prize winners will be announced at the symposium banquet.

You cannot vote for your own poster, or posters where you are listed as a co-author.

Please ensure you have written your name in English on the poster voting form.  Each delegate can only vote once. 

Votes should be turned in by Wednesday at 6.15pm 

Guidelines for assessment Posters should be assessed based on the quality of the information displayed and if the research is novel and significant. Good posters should present complex information in a clear and concise way. Posters that present information well will have graphics with large, clear fonts and images, and attractive backgrounds. The text and figures should be readable from a short distance of at least one metre. The text presented should be precise and structured with a logical flow to the information. Posters that are considered to be strong for novelty and quality of the research should concentrate on focused problems, innovative solutions, rigorous methodologies, and should be significant contributions to the meeting. 

All attendees can request a digital attendance certificate. These should be requested when filling out the post-symposium survey.

During the symposium, we will provide coffee breaks, lunch and dinner as detailed in the programme. You will receive tickets for lunches/dinners in your registration pack, and you will be asked for these upon entry as well as to have your name badge displayed. Please follow the onsite signage for the lunch/dinner locations.

When registering delegates were asked to confirm any dietary requirements, which have been passed to the hotel. Vegetarian options will be available at all meals, and we will work with the hotel to label ingredients and allergens in English. If you have any questions, please speak to symposium staff.

New Phytologist Symposia are relaxed events with no formal dress code, you should wear what you feel comfortable in. You may want to bring layers for air-conditioned rooms, and slightly cooler evenings. 

Photography and/or filming will take place at the meeting. The resulting photographs and video footage will be used by the New Phytologist Foundation for the purpose of promoting its activities and may be published on the New Phytologist Foundation’s website and social media channels.

A group photo will be taken of all delegates on Wednesday 23 October before lunch. Please follow the directions of staff and volunteers to the photo location. The photograph will be available to download from the New Phytologist website approximately 1 week after the symposium.

On Thursday following the conclusion of the symposium, we have arranged for pre-booked delegates to visit  the Iron Pagoda Park, next to Henan's campus and/or attending the evening show at the Millennium Park.

The evening show is outside, and attendees should have warm clothing in case temperatures are cold.

If you have requested to take part, please visit the registration desk to pay for your ticket. If you have not already requested a ticket you can enquire about availability onsite. Payment can be made in cash, or by credit card.

Expected behaviour

  • Do not share, copy, or reuse any materials presented by speakers or poster presenters unless this is expressly permitted.
  • We respect the rights of all individuals to dignity, privacy and confidentiality and delegates must treat everyone with respect.
  • We ask delegates to respect their fellow participants and ensure they undertake good practices for intercultural collaborations. Several tips for intercultural communication can be found at Commisceo Global and CHRYS.
  • We ask that you remain mindful of your surroundings and respect the surroundings of your fellow participants.


All delegates must ensure they respect the staff, rules and protocols of the meeting venue, accommodation, and online platform. This also includes protocols linked to COVID-19.

We will not tolerate behaviours that involve discrimination of individuals or groups on the basis of sex, race, ethnicity, gender identity, age, religion, disability, or any other characteristic protected by applicable laws. Sexual harassment, bullying, intimidation, or harassment in any form will not be tolerated.

Any delegates that do not meet the expected respectful behaviour may be immediately removed from the online or physical meeting. Accommodation

Yes - but additional charges will apply for extra occupants' breakfasts. 

If you are sharing accommodation with a fellow delegate, the second delegate can register at a reduced rate.   Access to this rate must be requested.  

Please contact the Events and Promotions Manager  if you want to share accommodation, or if you have any questions.  

Additional nights of accommodation can be added to your registration (subject to availability) .  

You can add this when registering by clicking the Add-on Products in your basket

You can then select the type of room you need (single or double occupancy), and add the number of nights.

The Events and Promotions Manager will be in touch to confirm dates if necessary.

The New Phytologist Foundation has learned that a third-party company, travellerpoint.net, is targeting New Phytologist Symposium speakers and attendees with a fraudulent travel and hotel booking scheme.

The company is calling and / or emailing symposium speakers and attendees, falsely claiming it is the 'official' housing bureau and / or authorised by New Phytologist to book hotel and / or travel accommodation for the symposium. The New Phytologist Foundation is not affiliated in any way with with this company, or any third party accommodation firm. 

All accommodation bookings for New Phytologist Symposium should be made through the New Phytologist Foundation symposium website (based at npf-events.evessiocloud.com) or directly with the Events and Promotions Manager.

Other organisations have reported this apparent scam, which appears to target conferences. Attendees of other conferences have reported the person calling:

  • Claims that the hotel rate has dropped and they would like to adjust the cost.
  • Claims that rooms are running out and must be booked as soon as possible.
  • Claims that rooms are sold out and that they can help find you alternative hotels.
  • Claims they can get you a better room rate than the conference organisers.

Please be aware that this is a SCAM designed to obtain your credit card information and / or make charges to your credit card. Please exercise extreme caution when contacted by any third party. The representatives are often extremely pushy. We recommend that you do NOT give this company your credit card number, personal information, or any details about your hotel reservation.

 If you receive a phone call or email from a company offering a hotel and travel booking service, please forward the information to np-symposia@lancaster.ac.uk.

Delegates who have received accommodation with their registration will have breakfast included. 

Delegates staying at the Pullman Hotel will also receive two bottles of water a day in their room, additional water can be requested. 

Poster FAQs

Posters should be portrait, no larger than A0, or 92cm by 122cm


Henan University can arrange for your poster to be printed in Kaifeng, but we MUST receive your poster file no later than Monday 14 October. 

Please upload your poster to this shared OneDrive folder, or email it to np-symposia@lancaster.ac.uk. If you are emailing it, please ensure you receive confirmation that it's been received, in case the file is too large and is blocked. 

If you don't send in your poster by the 14 October, you should bring your printed poster with you. 

There will be two poster sessions: 

  • Monday 21 October – 7pm – 9pm (with odd numbered posters to present from 7:30pm – 8:30pm)
  • Tuesday 22 October – 6:30pm – 8:30pm (with even numbered posters to present from 7pm – 8pm)

Your poster number has now been assigned and can be viewed on the list of posters.  

Once your number has been assigned it will not be changed, therefore where there have been late changes/additions the posters may not be alphabetical.  

The organising committee have selected several early career poster presenters to give a short 3min flash talk.  These are listed on the programme.  

Flash talks are by invitation only. 

Registration FAQs

Step 1:  Select the type of registration you want to book this will add it to your "basket". 

Step 2: You will then be prompted to log-in to your existing account on Evessio.  You may have an account if you've registered for a New Phytologist symposium in 2022 or 2023.  If you do not have an account, you can create one. 


Step 3:

Fill in the registration form with the details of the delegate attending. 


The progress bar at the top will go from red to green as you complete all the mandatory fields.  You will not be able to move to step 4 until you have completed all the fields.  

If you are booking for someone else, make sure that you have changed the personal details to the details of the person attending, including if they have any dietary restrictions or access requirements. This can be updated after registration by contacting the Events and Promotion Manager.

If you aren't ready to complete your form, you can save it and return to it later.  See the FAQ on how to access saved registrations. 

Step 4: 

Once you have completed everything, click the Green "Continue"  or "Complete" button


You will also need to tick that you have read and accept the Terms and Conditions. 

Step 5 (Chinese delegates)

For delegates based in China, you will be taken to a Summary page, where you can check that all the details are correct

You must click the "Complete" button to confirm your registration. 

You will then receive an email confirmation of your registration noting that your "ticket" is pending 

Make a note of your order reference number, starting with NPS46XXXXX when paying for your registation.

Step 5: (International delegates only) -

You will then be asked for the contact details for payment


Complete this an then click the green button "NEXT"

Tip - if you can't select "NEXT" check that you have entered the mandatory fields, including title. 

Step 6: (International delegates only) -

You can then move to the payment section. Options are to pay by credit card, or to pay the invoice via bank transfer.  


Accepted credit cards are Visa, Mastercard, Maestro, JCB and American Express. 

If you select pay by card you'll be taken to a separate secure page to enter your credit card details. 

Please note that sometimes credit card transactions can take some time to process, please give it a minutes or two

Confirmation emails

After completing the payment section, your registration will be processed, and you will receive a confirmation email  from noreply@evessio.com to confirm that your "ticket" to the symposium is pending approval.  If you paid by credit card, your ticket will be approved soon afterwards. If you selected to pay by invoice, your place will not be confirmed until your invoice has been paid. 

Navigate to abstract submission.  You may be prompted to log into your Evessio account. 

Once logged into your account, you can save your progress and return to the submission form later. 

Ensure that the personal details are those of the presenting author. 

Fill in your abstract details. 

Upload a Word document of your abstract.

Add any further author information such as an Author Identifier page and/or a CV (optional). 

If you are applying for a travel grant, provide the further information requested.

When you are finished, make sure you submit your abstract using the green 'Complete' button. 

Please make sure that you have fully submitted/completed your abstract or registration, and that it's not still "InBasket" or Saved.  See the FAQ with a step by step guide to register for extra help. 


If you haven't received your confirmation email, please check your spam filter, and ensure that noreply@evessio.com is added to your safe senders list.  


If you still need further assistance, please contact Christine Phillips, Events and Promotions Manager with any issues you may be having with the website.  Often these are simple fixes, which we can provide quick responses to.  We may need to re-set your password, or manually activate your account to assist you.  

The exact number of abstracts is still to be confirmed, but we have limited poster exhibition/programme space, and expect the process to be competitive. 

Preference will be given to new, unpublished, or recently published work.

We only allow one abstract submission per potential presenter. However, you may be listed as a non-presenting co-author on another abstract submission. 

Should you be traveling with a guest who will not be attending the symposium sessions, you can book an accompanying person place at the symposium.  

An accompanying person will have access to refreshment breaks, poster receptions and the symposium dinner.  They will also be welcome to join any optional tours/trips around the symposium.  Additional costs may apply for optional tours, and pre-booking will be essential.

International delegates: 

You can pay for your registration fees by credit card when checking out, or you can request an invoice to pay your registration fees later. 

If you choose to pay by invoice, your place will be reserved for 30 days.  If after 30 days your payment has not been received, we reserve the right to give your place to someone on the waiting list.   

If you have applied for a travel grant, we will extend the deadline to pay the invoice until 14 days after the decision about the travel grant has been communicated to you.  

If you selected to pay by invoice, but now want to pay by credit card, we can arrange this.

Visas

International delegate may need a visa to visit China.  Please check with the Chinese Embassy in your country for further details.  You may want to seek advice from your Institution, as they may have services that office advice/assistance with obtaining visas. 

We have been advised by Henan University that speakers and poster presenters should apply for a non-commercial visa (F Visa).   Additional details about applying for an F Visa are available at Travel China Guide's website (external link)

While some countries may have visa exemptions in place, we strongly encourage all delegates to check with their local Chinese embassy that this would apply to them. 

If you require a letter of invitation for a visa, the New Phytologist Foundation, together with Henan University, will provide a letter of invitation upon request. To be eligible, you must first register and pay to attend the Symposium. Once you have registered and paid, you can request a letter. 

We will need your passport details to supply you with a letter of invitation. Please enter your passport details on this secure form.

Travel grants

Please note that travel grant applications closed on 14 June 2024

You can apply as part of your abstract submission (please note we cannot accept travel grant applications without a corresponding abstract submission). 

Please ensure you have provided the following information 

  • Your CV 
  • A letter of support/reference from a senior researcher who has agreed to provide you with a support letter
  • A brief (no more than 200-word) statement indicating your reasons for wishing to attend and how you hope the meeting will enhance your career/research
  • An estimate of your travel costs

We have a limited number of travel grants available for individuals in the early stages of their career (student and post-doctoral researchers with up to five years’ experience since gaining / defending their PhD, excluding career breaks). 

We also accept grant applications from researchers based in countries classed as low- or middle-income by the World Bank. 

To be eligible for a grant, you must also submit an abstract for consideration as an oral or poster presentation.  

Travel grants will be paid after attendance at the event.  Travel grant claim forms will be sent following the symposium.   We do not require travel receipts to claim your travel grant. Travel grants can be paid directly to your Institution when appropriate. 

Travel grants are typically processed within one month of receipt of the claim form. 

The number of travel grants awarded will vary depending on the number of applications and the amount requested by applicants. 

The process is expected to be competitive. 

Some recipients of a travel grant will have their fees and accommodation cost waived along with a travel grant, particularly when they would likely be unable to attend without the fee being waived.   Other recipients will receive a partial travel grant which will contribute to their travel costs, but their fee would not be waived. 

You are encouraged to register to attend at the same time as submitting your abstract and/or application for a travel grant to take advantage of the  early bird registration rate.

You can select "invoice" as the payment method, and your invoice would not be due until 14 days after your travel grant decision had been communicated to you. At this time you would be able to arrange to pay by credit or a bank transfer. If a delegate who has applied for a travel grant is unsuccessful the New Phytologist Foundation will waive the £10 cancellation fee provided they cancel their place within 14 days from travel grant decisions.
